What is the time based workflow transition feature?
The Time-Based Workflow Transition feature in Clariti Launch allows submissions or cases to automatically move to a different status after a set amount of time has passed since the last status update—without requiring manual intervention. This is in addition to the existing automatic transitions based on step completion.
How does the time-based workflow transition work?
Within the Workflow Builder, platform users can add a Time Elapsed trigger to a workflow status. They can specify:
- The target status (chosen from connected transitions in the workflow).
- The time frame (hours, days, weeks, months, or years).
- Whether weekends are included (weekend exclusion only applies to day/week-based timelines).
Once the specified time has elapsed, the submission or case will automatically transition to the chosen status.
- If a workflow also has a step-completion trigger configured, whichever trigger occurs first will fire the transition.
- All automatic transitions are logged in the Activity and Audit Logs, and notifications can be sent to relevant stakeholders before or after the transition occurs.
Admins retain the ability to manually override statuses at any time.
Why did we create this feature?
Previously, Clariti Launch only supported automatic status changes triggered by step completion. Customers requested more flexibility for workflows where progress might stall or deadlines need enforcement.
The Time-Based Workflow Transition was created to:
- Increase automation for processes that require action after specific timeframes (e.g., moving “Pending Review” cases to “Closed” after 48 hours).
- Reduce manual tracking and follow-ups for overdue submissions.
- Ensure consistency in handling inactive or time-sensitive cases.
Provide better visibility and compliance through audit logs and notifications of time-based changes.
How do I get access to this enhancement/feature?
Access this feature from the Workflow page by selecting a status, then clicking ‘More Options’ in the Status Details window.
