What are Data Sources?
Data Sources are a powerful feature that allow you to automate the verification of critical data by uploading spreadsheets directly into our system. You can set up rules to block applications from proceeding in the event that they do not meet the verification criteria (ie. no contractor license found, license is expired etc.), as well as have key data fields pre-fill based on columns in your spreadsheet (ie. contractor license numbers, expiration dates, contractor contact information etc.).
This not only minimizes human error but also ensures that every application proceeds with accurate, up-to-date information.
How do Data Sources work?
Once you upload a spreadsheet containing your custom data (for example, contractor license information), our system processes and indexes the data. You can then map the columns to specific data fields, which can automatically pre-fill those data fields and validate entries during the permit application process. Additionally, you can set up rules or use a Data Lookup Step to block an application from proceeding if the provided information (such as a contractor license number) is invalid or expired. Messaging provided to applicants whose submissions have been blocked can be customized.
Why did we create this feature?
We developed Data Sources to help streamline and automate data verification. By automating the validation of critical information, like contractor license data, we reduce manual entry errors and ensure that applications only proceed when accurate, up-to-date details are provided. This helps drive efficiency, reduce processing time, and improve overall data integrity across your organization.
How can I get access to Data Sources?

Will access to Data Sources cost anything extra?
No, access to Data Sources is included with your subscription. This tool is designed to support both new and existing customers at no additional cost.
What kind of information should I import?
For contractor license verification, we recommend importing key data such as:
- Contractor License Number
- License Expiration Date (ensure the date follows the required format MM/DD/YYYY)
- Business Name
Another example could be business license verification. Your jurisdiction may require businesses to have an active business license before applying for a permit. You can upload a spreadsheet that includes all currently licensed businesses, along with key details such as:
- Business License Number
- Expiration Date
- Business Name
- License Status (Active, Suspended, etc.)
Additionally, if there are extra fields you need—such as License Classification, Issue Date, or Principal Contact Name—you can import these as well to support further mapping to your data fields, which can then be used on issued documents or forms.
What should I know about uploading my data?
When uploading a spreadsheet, please ensure:
- The date fields follow the correct format (MM/DD/YYYY)
- All updated spreadsheets should include the same columns (no columns added or removed)
- You can only map data source columns to single line text data fields, or date data fields at this time
How does Data Sources work within rules and steps?
Data Sources can be used in two ways: within a rule condition to block submissions (for example, if an applicant’s contractor license is not valid) or as part of a new Data Lookup Step. This ensures that your application process automatically checks the data before proceeding, maintaining a seamless and efficient workflow.
